Booking terms and conditions

We want you to have a wonderful holiday with us when you visit Pembrokeshire and cannot wait to welcome you to our holiday cottages. Please read through our booking terms and conditions before you book your holiday with us. Upon making your booking you are confirming that you have read, and that you accept and agree to comply with these booking conditions.

A copy can be made available to you upon request.

Your reservation is a legally binding contract.

The Parties

The Agent: means St Brides Bay Cottages, incorporated and registered in England and Wales as SBBC (Pembs) Ltd with the company number 15153154 whose trading office is at The Old Milking Parlour, Greenstone Farm, Penycwm SA62 6NH

The Owner: means the owner of the Property (or their designated representative)

The Client: means the person booking a holiday in accordance with these Conditions.

We act as Agents for the owners of the holiday accommodation ( the owner ), we do not own the properties, we arrange and make bookings and reservations for holiday makers (the client). Each contract is therefore between the Owner and the Client and is made at the point at which the Agents issue a Booking Confirmation. For the avoidance of doubt, the Agent is not the principal. The person making the booking certifies that he/she is authorised to agree to the booking conditions of all persons included in the party and must be over 18 years age at the time of booking.

Promotion Material: means all paper and electronic media produced by the Agent to market the Property. It does not include any material produced by third parties.

Arrival Date: means the date of the commencement of the holiday as confirmed by the Agent.

Departure Date: means the date of the end of the Holiday as confirmed by the Agent.

Deposit: means the deposit amount requested by the Agent.

Holiday: means the period from the check in time on the Arrival Date until the check out time on the Departure Date unless otherwise agreed by the Agent in writing.

Holiday Rental: means the total fee payable for the holiday inclusive of the Deposit, but exclusive of any other property specific extras.

Notice in Writing: Means notice by post or e-mail to the offices of the Agent or to the last address given by the Owner to the Agent for the purpose of correspondence.

The Property: means the Owner’s property as described in the Promotion Material.

Booking your Holiday

Telephone bookings and enquiries are welcome on 01437 702022 seven days a week. Payment may be made by debit/credit card (please note there is a commission charge on a credit card) or bank transfer. You can also submit a booking request by visiting our website at www.stbridesbaycottages.com or emailing us at

A provisional booking must be confirmed with 4 days, after this time the dates will be released.

At St Brides Bay Cottages there are no hidden charges and we do not charge you any booking fees.

Deposit and Final Payment

A deposit of 25% is required for each week or short break of the proposed booking. Until a deposit is received by the Agent, any booking is provisional and may be cancelled by the Client or the Agent.

The balance is due 8 weeks before the first day of the holiday. If the Agent does not receive the balance in full by the due date, the Agent reserves the right to cancel the booking in its entirety and re-let the property concerned.

If the Client makes the booking less than 8 weeks before the start of the proposed holiday, then full payment must be made at the time of booking to confirm the booking.

When a Deposit has been paid and the booking confirmed in writing the client is liable for the balance of the Holiday Rental for the period booked. All payments including the Deposit, any extras and subsequent Holiday Rental payments are non-refundable.

Variations

If the client varies the terms of booking after the Deposit has been paid and the booking confirmed in writing, the Agent reserves the right to make a reasonable additional charge of £30 in respect of any added administrative work required as a result of the variation. Any variation is subject to approval be either the Agent or the Owner.

Cancellation by the Client

If the Client cancels a booking that has been confirmed by the Agent the Client is responsible for the total price as agreed at the time of booking.

We STRONGLY recommend that you cover your holiday with an insurance policy, as should you have to cancel you will be held liable for the whole booking value unless we manage to re-let the property ( a re- marketing fee will still be charged)

Cancellation by the Agents

If the Agents have to cancel a booking of a specified property at any time after confirming a booking (e.g. because of fire at the property) or should the property be unavailable on the day that the holiday starts for reason outside the Agents’ control then the Agents will offer the Client the choice of:

  • Another alternative property (subject to availability)
    or
  • A full refund of the amount paid by the Client to the Agents and the Client shall have no further claim against the Owner of the Agents.

Client’s Responsibilities and Obligations

The Client (here meaning all of the persons over the age of 18 included on the booking form) agrees –

  • To pay for any losses or damage to the property or contents (including the soiling of carpets and soft furnishings) however caused (reasonable wear and tear excluded). Any loss of damage must be reported immediately to the owner/caretaker or St Brides Bay Cottages and in all instances before departure.
  • To take good care of the property and leave it in a clean and tidy condition on departure. Please dispose of rubbish to the designated areas and make sure the property is locked and secure whilst not occupied and on departure.
  • To allow the Owner or the Agent or its authorised representatives to enter the Property to inspect the state of it and to carry out any necessary works of maintenance or repair, at all reasonable times upon 24 hours prior notice or in the event of emergency at any time without notice, causing as little inconvenience to the Client as is reasonably practicable and making good any damage caused to the Property and to the Clients property;
  • Not to part with possession of the property or share it except with the other members of the party.
  • Not smoke inside the property, or any area around the property where a ‘no smoking’ sign is displayed. Smoking is strictly prohibited in all of the properties listed on this website.
  • To NOT under any circumstances charge vehicles with leads using domestic sockets. A few of our properties have professionally installed EV charging points which can be used by prior agreement and payment ( fees apply)
  • Under no account can the prescribed number of persons ( indicated on booking form) per property be exceeded. The company reserves the right to decline bookings of large single sex groups i.e. hen/stag parties where deemed appropriate and requests full details of such parties in writing.
  • Not to do anything that may reasonably be considered to cause a nuisance or annoyance to the Owner or to any other occupier of adjoining properties
  • To depart the property at the given time on the given day. Arrival dates and times along with your departure dates and times are given on your booking form. Our fabulous cleaning team will need access to prepare for our next arrival. We can under some circumstances offer early check in and late check out upon prior request ( fees apply)

Complaints

We are local residents and therefore readily available to ensure that everything is done to make your stay enjoyable, however, if you have any cause for complaint we would wish to resolve the matter as quickly as possible.

If the Client has a complaint in respect of the Property then this must be reported to the Agent to resolve within 24 hours of the issue arising, to ensure sufficient time is allowed to investigate and/or take the necessary remedial action. No compensation will be offered to a Client by the Agent or Owner should the Client deny the Owner or Agent the opportunity to rectify the issue during the Holiday. If the issue is not resolved to the Clients satisfaction during their stay, they must contact the Agent within 7 days of their departure date. The Agent will make reasonable endeavours to rectify any issues and or damage as soon as is practicable, however there is no guarantee that the repairs or rectifications will be affected during the Holiday period.

The Agent will act on a goodwill basis as arbiters between the Client and the Owner to resolve any dispute but cannot be held liable if one or both parties are dissatisfied with the outcome.

Neither the Owner nor the Agent accepts responsibility for work taking place outside the boundary of a Property, or for noise or nuisance resulting from third party activity over which the Owner or the Agent has no control.Please contact the Agent during your stay so remedial action may be taken. Complaints made after 24 hours following departure will not be considered.

Pets

We love animals and welcome pets in most of our properties but not all ,so please do check for the number accepted and any charges that may apply on specific properties.

Please note that the term “pet” refers to a dog and that consent needs to obtained prior to arrival for the any other type of pet e.g. cat, hamster etc.

  • Pets must not be left alone in the property at any time.
  • Pets must be kept under control at all times.
  • Please bring your own pets’ bedding, towels and food bowls.
  • Pets are not permitted on soft furnishings and bedrooms (for humans only).
  • Please ensure your pets are up to date with flea and worming treatments.
  • Pet owners accept total responsibility for pets and its actions e.g. cleaning up mess etc. Failure to comply will lead to your liability for dealing with ensuing problems and extra cleaning costs incurred from our cleaning company.
  • The breed/type and number of dogs are declared on booking.
  • Please note- Owners reserve the right to refuse certain breeds of dogs if the property is deemed unsuitable.

Broadband

Broadband internet access is offered in some properties. Where our owners do offer broadband, this is on the basis that neither they nor We promise that the service will be available constantly and that it is provided for recreational and not for business use. Neither a minimum speed, unrestricted bandwidth nor uninterrupted provision of an internet access service can be guaranteed and neither the Owner nor We will be liable for any form of compensation or expenses claimed by any guest in respect of the provision of internet services or telephone services not being available or failing.

Activities

The activities that may be shown in our literature are outside our control and are not supplied by us. If you wish to carry out any activity at or near the Property, we strongly recommend that you book the activity with the relevant provider.

Data Protection

The Owner of the property may be supplied with the booking details, name, address, email address and contact number of the Client.

Accuracy and Description

Whilst every effort has been made to ensure accuracy on our website and social media channels, the Agents can accept no liability whatsoever for any errors, inaccuracies or omissions, or for any matter in any way connected with or arising out of the publication of the information. The Agent works closely with the Owner to ensure that all properties are fairly and accurately described. Occasionally an Owner will make changes to the set-up of their property after publication of the Agent’s Material for which the Agent cannot be held responsible.

Accessibility

Due to the unique nature of many of the properties advertised on our website the Agent is unable to guarantee that they are suitable for disabled access. The Tenant is therefore advised that all properties which are suitable for disabled access will be advertised as such and an access statement can be supplied on request. If the Tenant is in any doubt as to the suitability of the Property they are strongly recommended to contact the Agent at the earliest possible opportunity.

Pricing

Please read the pricing section carefully and remember to check all prices and facilities before making your booking.

All prices are in £ sterling.

The price is inclusive of V.A T. at the appropriate rate, where necessary.

Liability and Breach of Contract:

Every effort is made to ensure all items of equipment described and supplied by the Owners are in good working order; however no guarantee is given or liability accepted if breakdowns occur before or during a holiday. Whilst the Agent and/or Owner will endeavour to organise repairs or replacements as quickly as possible, delays may occur, particularly during the main season.

Neither the Owner nor the Agent shall be liable for any death or personal injury occasioned to the Client or member of the clients party, or its additional invitees or guests, unless such death or personal injury is a direct result of an act of negligence or breach of statutory duty by the Owner or by the Agent or any of their employees (providing they were at the time acting in the course of their employment).

The Client must take all necessary steps to safeguard personal property. No liability is accepted by the Owner or by the Agent in respect of damage to, or loss of, such personal property except where the damage or loss is caused by any act of negligence or breach of statutory duty by the Owner or by the Agent or that of any of their employees (providing they were at any time acting in the course of their employment). The Agent acts only as an Agent for the Owner, as such the Agent cannot accept any liability for any act of negligence or breach of statutory duty by the Owner or anyone representing, or employed by, the Owner.

Nothing in these Conditions affects liability for death or personal injury caused by the Owner’s or Agent’s negligence or for fraudulent misrepresentation, or statutory rights as a consumer.

Early Termination

This Agreement may be cancelled before the end of the Holiday by the Agent giving the Client notice only in the event that the Client is in material breach of the terms of these Conditions, or by reason of fire or some other catastrophic event of a type covered in an insurance policy. In the case of cancellation other than by reason of the Clients default the Agent shall return to the Client the appropriate proportion of the Holiday Rental attributable to the unexpired portion of the Holiday.If there shall be a breach of any of these conditions on the part of the Client of any member of the party, the Owner and the Agents reserve the right to re-enter the property and terminate the holiday letting without prejudice to the other rights and remedies of the Owner.

Events Outside Our Control

We will not be liable or responsible for any failure to perform, or delay in performance of, any of Our obligations under these Terms that is caused by an Event Outside Our Control.

An Event Outside Our Control means any act or event beyond Our reasonable control, including without limitation, actions or omissions of the Owner (including, but not limited to, cancellation or failure to provide access to the Property) strikes, lock-outs or other industrial action by third parties, civil commotion, riot, invasion, terrorist attack or threat of terrorist attack, war (whether declared or not) or threat or preparation for war, fire, explosion, storm, flood, earthquake, subsidence, pandemic, epidemic or other natural disaster, or failure of public or private telecommunications networks, power networks or water supplies, local building works or roadworks, transport interruptions, delays or cancellations.

The validity construction and performance of this contract shall be governed by English Law and the Client hereby submits to the exclusive jurisdiction of the English Courts.

At St Brides Bay Cottages there are no hidden charges, or booking fees and on arrival our properties include:

  • Beds made up for your arrival
  • Towels provided (bath and hand for each person) not beach towels
  • Hand towels and bath mat in bathrooms/shower rooms
  • Tea Towels
  • Oven Gloves
  • All heating, electricity and water
  • During winter months a starter bag of logs and kindling for log burners (Oct 1st-March 31st )
  • Toilet Rolls
  • Bin Liners
  • Hand Soap/Wash
  • Washing Up Liquid
  • Jay Cloth and pan scrub
  • Dishwasher tablets
  • Kitchen Roll
  • Wifi available in the majority of our properties, however broadband speeds cannot be guaranteed
  • Highchairs, stair gates and cots (not cot linen) are available free of charge please request at the time of booking
  • We can supply baby packs if request received 3 days before arrival.
  • A warm welcome for well behaved pets in most of our properties (pet charge)
  • Properties available all year
  • Extra services such as balloons, cards, flowers, champagne and chocolates upon request ( extra charges apply )
  • Flexible stays and short breaks usually outside of the peak season
  • Location, location, location – wonderful locations, great walks and incredible scenery
